93% of Employees Are Accessing Microsoft SharePoint Intranets but You Have Less Than Six Minutes a Day to Make an Impact -

NEW YORK--(BUSINESS WIRE)--More than nine out of every 10 employees visit their company intranet but their time there is limited so it's essential content is easy to navigate, accurate and structured in a way AI can access, the latest global report into real-time Microsoft SharePoint intranet usage has found. SWOOP Analytics also assessed the AI readiness of intranets and found there is a long way to go before most intranets are ready for AI to support chatbots, but with the ever-increasing use of AI, health of intranet pages will become even more critical. Digital workplace analytics provider SWOOP Analytics has published its latest benchmarking report into SharePoint intranets, analyzing real-life data from 238,000 intranet visitors across 159,601 intranet pages over 28 organizations. SWOOP Analytics found 93% of all employees visited the intranet over the three-month period analyzed, a significant increase on last year's results. However, people don't spend a lot of time on the intranet. On average, employees spend less than six minutes a day visiting the intranet. This means content must be quick to find, up to date and accurate. Most people (91%) are heading to the intranet to visit content pages, like leave forms, policies and procedures. Intranet news is still important though, with 62% of people also visiting news pages in the three-month period analyzed. SWOOP Analytics also assessed the AI readiness of intranets and found there is a long way to go before most intranets are ready for AI to support chatbots, but with the ever-increasing use of AI, health of intranet pages will become even more critical. The challenge for those managing intranets is to tailor content to fit the brief time employees are willing to commit. For maximum impact, internal communicators need to think about what key messages to prioritize for the small window of attention available and ensure all information is up to date and accurate. Other key findings from SWOOP Analytics' benchmarking of SharePoint intranets include: Most people visit the intranet between Monday and Friday, with peak times at 9am and 2pm. More than 91% of employees access the intranet via their desktop. Intranet news and content is reaching most roles, with a high diversity of job titles accessing the intranet, the most popular being managers and team leads, while administrative and frontline workers are the least likely to access the intranet. People visit the intranet three times each working day, on average, and view a little more than two pages each visit. People visit, on average, four intranet news articles each week. The most popular length of an intranet news article is less than 200 words. Although, articles up to 400 words can still be effective. 'In this year's report we did a deep analysis into the AI readiness of intranets and found it sorely lacking,' said SWOOP Analytics CEO Cai Kjaer. 'Our report provides goals and advice to optimize your intranet to give people the accurate information they need to accomplish their work, while also preparing it for AI. 'Following our goals will help ensure employees, and organizations, get the most value from the intranet.' SWOOP Analytics' 'How to successfully manage an intranet' report is a must-read for anyone involved in managing, or writing for, an intranet. It provides achievable goals for intranet usage and identifies what the most engaged intranet pages and sites look like, along with advice on how to launch a SharePoint Online intranet.
