There's an app for that. It felt like a bubble that was bound to pop. But it didn't. Last year alone, there were approximately 137.8 billion app and game downloads worldwide. Apps are now fully integrated into our daily lives, so much so that we barely notice them. Just imagine arriving in a new destination and trying to navigate. Looking at your phone for directions is less a choice and more a reflex. Today, some people view AI agents as the latest tech fad. But I think they're the next logical evolution. Ece Kamar, managing director of Microsoft's AI Frontiers Lab, shares that view. She envisions a future marketplace of agents that empowers people the way apps once did—with tools that extend our capabilities in ways we've barely begun to grasp. And just as apps transformed everyday life, AI agents are beginning to transform remote work, automating routine tasks and enabling smarter collaboration across distances. Here's how. At Jotform, we believe in the value of working in the office. Since fully returning to the office after the pandemic, we've observed remarkable gains in learning, innovation, and all-around employee well-being. Still, some degree of remote work is inevitable, whether it's a parent spending precious time with a newborn child or colleagues collaborating across time zones. We've found that AI agents are a game-changer for remote project management. With tools like ClickUp, AI chat agents can act as your embedded project managers—automating task assignments, highlighting performance insights, and filtering massive message streams to highlight essential updates. For remote teams like ours, juggling time zones and tools, these agents reduce friction and lag time, allowing us to focus our energy on the actual work, not the work of coordination. One of the biggest challenges of remote work is the lack of immediate technical support. There are few things more frustrating than having your workflow derailed by glitchy or confusing software. AI agents are helping level the playing field for remote workers by streamlining back-office functions like IT and HR. They can be trained to act as first-line, always-on support. Without in-person meetings or casual watercooler chats, communication often suffers. Research shows it's one of the biggest challenges of remote work, especially for younger employees. When shifting from in-person to remote work, employees aged 18–24 and 25–34 reported receiving 10% less information from management. They also noted that both the frequency and effectiveness of communication dropped by at least 10%. AI agents can help bridge these gaps by supporting more consistent, timely, and transparent communication among remote teams. Zoom's AI Companion, for instance, acts as a conversational agent that enhances teamwork by offering real-time support across meetings, chats, and collaboration tools. During calls, it can generate live meeting summaries, recap action items, and answer questions like 'What did Sarah say about the deadline?' without interrupting the flow. In team chats, it can provide quick summaries of previous discussions or help draft responses, ensuring no one misses important context, even if they join late or are in a different time zone. Like an always-on assistant, this kind of support helps teams stay aligned and keeps projects moving forward. Agents can also help team members to quickly find information they need—no new Slack thread required. AI agents built into platforms like SharePoint can act like intelligent knowledge librarians, helping employees to locate relevant files, summaries, or project updates. Tech leaders like Sam Altman are calling 2025 the year AI-powered employees join the workforce. That might sound unsettling, understandably, but it can also be motivating. Rather than compete with virtual coworkers, we can embrace them as effort-amplifying teammates. For remote and in-office workers alike, the future can either be man-versus-machine or man-plus-machine.

How to Turn AI Into a Teammate, Not Just a Tool
By now, you're probably using AI to lighten your load in one way or another. But are you truly getting the most out of its abilities as an assistant? Opinions expressed by Entrepreneur contributors are their own. A few months ago, I was stuck on an email. We were about to announce a delay in releasing a new Jotform product, and I needed to explain the "why" in a way that felt honest, optimistic and clear. Not too corporate. Not too casual. I rewrote the opening five times. Nothing was landing. Out of frustration more than strategy, I opened up my AI assistant and typed, "Can you help me write a company-wide email about a product delay that's transparent, reassuring and keeps the team motivated for what's next?" What came back was surprisingly decent. Not publish-ready, but good enough to get me moving again. Then I tried something else. "Rewrite this like you're a product manager talking to power users." Then again. "Now condense it into an email." Suddenly, I wasn't stuck anymore — I had options, tone shifts and plenty of ideas. I wasn't working alone. I had a co-pilot. AI has changed the way we work, but the truth is, most of us aren't actually using it to its full potential. Here's how to change that. According to Harvard Business Review, the most popular use of GPTs is "personal and professional support," representing a significant shift from last year, when the reigning category was "technical assistance and troubleshooting." In 2024, users were relying on AI for tasks like generating ideas and looking up the answers to specific questions. Now, their relationship to AI has evolved, with users treating it less like a tool and more like a teammate. This evolution is key. The more we anthropomorphize AI — not in a sci-fi way, but in a practical, collaborative sense — the more effectively we can leverage it. At this point, I use AI to take a number of tasks off my plate, assigning it roles based on what I need done: If I want to gather stats or summarize articles, I tell it to assume the role of a research assistant. If I want a wireframe copy reviewed, I ask it to act like a UX designer. If I'm refining a pitch or strategy doc, I'll prompt it to behave like an investor or board member, so I can pressure-test my thinking before presenting it to the real audience. The more intentional you are about how you "cast" your AI assistant, the more value it can deliver — not just as a helper, but as a genuine extension of your thinking. Get your prompts on point AI isn't magic — it's responsive. Vague prompts beget vague answers. But with clear direction, including the tone, structure and style you want, you'll unlock much more powerful results. Say you want to create a blog post to announce a new feature or product. Instead of simply saying, "Write me a blog post," make it specific. "You're the CEO of a tech company who just launched [insert product and description]. Write a 300-500-word blog post that accurately captures the product's features, includes key details, and explains to users how it will improve their day-to-day workflows. The tone should be confident and enthusiastic, and adhere to the company's brand voice [examples below]. I've found it helpful to treat prompt engineering like managing a junior team member. Rather than scrapping the first draft, offer feedback: "Make this less technical," "Add a real-world example," or "Make the first paragraph more engaging." The more specific the prompt and the revisions, the better the outcome. With just a little bit of upfront time investment, AI has the capacity to streamline nearly every aspect of your daily workflow. These days, even those without any coding knowledge can easily build customized AI assistants designed to lighten the load of repetitive tasks. From Claude's "Project" to Gemini's "Gem," these platforms enable users to store data like detailed instructions and tone guidelines to keep from having to write the same prompt over and over. For example, I created a scheduling and email assistant that helps me triage my inbox and prepare meeting follow-ups. It's loaded with previous email templates, understands my preferred tone and can quickly draft context-aware replies or send a recap with action items after a meeting. Because it's trained on how I typically communicate and prioritize, it feels less like a chatbot and more like having a highly-responsive personal assistant. My advice? Start small. Choose one recurring task — something low-lift but time-consuming — and assign it to your AI assistant. Give it structure, test it out and offer feedback as you go. Before long, these automated assistants will start to feel like invisible team members working behind the scenes to keep you focused on what matters most.

Sometimes, remote work is inevitable. At my company, Jotform, our employees generally work from one of our six global offices. But even though I'm a big advocate of in-person collaboration, there are times when it's simply not possible. Maybe your car is in the shop, or you have a sick kid you need to stay home with. The fact is, it's just not practical to be in the office 100% of the time. Part of the reason I prefer our employees to work IRL is the challenges that being remote presents — communication gaps, lack of visibility and decreased engagement can all erode productivity. But the challenges I'm facing now, 20 years in, are different from the ones I struggled with early on, when I was attempting to launch a startup around working a 9 to 5 job. Back then, I was balancing building my product with reading a secondhand copy of 'Marketing for Dummies,' trying to turn what I thought was a good idea into a viable, profitable business. These days, the issues that keep me up at night are more existential: What is the next big thing? What's the most impactful thing I should be working on? What skills do I need to add to my teams, and how can we recruit top-tier talent? Like many other leaders out there, a lot of this rumination revolves around AI. According to research from McKinsey, 92 percent of executives said they expect to boost spending around AI in the next three years, and 55 percent say they plan to increase their investments by at least 10 percent from current levels. At my company, Jotform, we've already seen our operations improve thanks to AI innovations. Now, as AI agents dominate conversations throughout the tech world, I've been thinking about how these new systems can ease the pain points that have plagued leaders since the dawn of enterprise. A healthy business should be constantly innovating, but that's easier said than done. In a company's early years, innovation is a given, but as it grows, it becomes easier to stagnate. Once-lean startups get set in their ways and become less nimble. Established businesses have more to lose, and fear of failure can be paralyzing. Any company that hopes to survive in the long term needs to constantly reassess the needs of its customers, adjusting and updating its products and services. The longer it goes without reevaluating, the harder it will be to pivot when need be—just look at what happened to Blockbuster. The once ubiquitous video rental retailer has gone extinct because it failed to appreciate changing viewer habits before it was too late. Agents can help drive innovation in two ways: The first is by simplifying draining, routine tasks, giving teams needed time and space to flex their creative muscles. Whether you need assistance writing coding or want to automate your social media strategy, agents are ready to take these tasks off your plate. Agents' utility doesn't end there—they can also assist with innovation itself. Tools like DeepResearch can conduct extensive, academic-level research on a given topic, tailoring its final report to your specifications. If Blockbuster could go back in time, its executives may have asked an agent to collate a report on viewership trends, emerging technology and evolving consumer habits, gaining the insight they needed to save themselves before Netflix stole the show. Every leader wants to attract the best possible employees, and most find it challenging—according to one study by Manpower Group, four in five employers globally report difficulty in finding the skilled talent they need. Organizations are forced to compete for top-tier recruits, and a lengthy search for the right person means key positions end up sitting vacant. Recruitment has already embraced AI in a number of ways, from resume-parsing to automated candidate matching, helping recruiters make cohesive, data-driven hiring decisions faster. These are helpful developments—but they're nothing compared to ways that agents can supercharge the recruitment process. Agents can complete complex, multi-step processes from end-to-end. When it comes to hiring, that means their first order of business is to source candidates, combing through talent databases and matching profiles to job descriptions. But even after they've compiled a robust list of qualified candidates, their work isn't over—their next step is to send out interview requests, schedule phone screens, and field candidate questions— all in a fraction of the time it takes human recruiters to do the same. Why does this matter? Because when it comes to hiring, time is of the essence. You don't want to lose a great candidate to a competitor because you were too bogged down to schedule a timely interview. Organizational culture is the glue that holds companies together. It defines shared values, guides behavior, and fosters a sense of belonging that motivates people to do their best work. But culture can erode when employees feel disconnected from each other, don't have clear direction, or spend so much time on mundane tasks that they lose sight of the bigger picture. Conventional wisdom says that organizational culture comes from the top—leaders are responsible for making sure teams understand company values, and how their work is helping to advance its larger goals. That remains true, and it probably always will. But agents can help support a thriving culture in several ways.
